Procedure to Apply

Are you entitled to apply for On-Base housing?

All entitled personnel shall have an opportunity to apply and occupy quarters in SHAPE Village within both the legal SHAPE military framework set forth in the SHAPE Directive 100-3. Entitled personnel are heads of household that are accompanied by dependent(s) at SHAPE.
FOLLOWING CONDITIONS ARE REQUIRED TO APPLY:
- You must be military and assigned to SHAPE (Casteau) or Chievres Airbase.
- You must be head of the household with at least one dependent
- Although SHAPE is a military base, a restricted number of NATO International Civilian (NIC) may apply and live on base for a limited period of 3 years.
HMS is responsible for administration and allocation of SHAPE Village quarters in accordance to the SHAPE directive 100-03.


APPLICATION RULES
- Houses and apartments are assigned to entitled personnel (see par. above) in accordance with SHAPE Directive SD100-003.
- Applications cannot be accepted for any personnel (except general officers OF-6 and above) prior their in-processing procedure is completed (SHAPE ID delivered).
- You will be placed on a waiting list upon your housing registration. The waiting time is variable in accordance with the availabilities
* Be aware that Off base Housing support is under the responsibility of the sending Nations.


Are you entitled to apply for On-Base housing?

- Entitled personnel must in-process via the registration computer of HMS - Housing Management Section in B210. Your SHAPE ID Card is required to fill your registration successfully.
- Once the registration is done the program will allow the applicant to print the application form. This form must be signed by the corresponding NMR, or for civilians, the recruiting personnel office in order to verify the number of dependents and the marital status. With this, HMS will be able to validate the application.
- Entitled personnel may apply for an apartment or for a house (one or the other). Upon validation of your application, you will be placed in the appropriate waiting list. Waiting lists will be subdivided into lists for each size of quarters (with the exception of General Officers Quarters, where there is only one list). A printed version of the waiting list remains permanently accessible at HMS office, B210, R107. A coded waiting list containing is also published on this web page. The waiting list is updated on a weekly base.
- Applicants must get in touch with HMS when they are in the 5 first on the waiting list. HMS will also contact them as soon as they will reach the top of the waiting list in order to present an appropriate offer. The applicant must state, in writing, whether he desires to accept the offer or not. If he rejects the offer, he will have the choice to be placed at the bottom of the waiting list, or, if he wishes, to withdraw his application. The member will be taken permanently off the waiting list upon the second time he reverts. If he accepts the offer, the applicant will sign an acceptance form in HMS.
- Next step for the applicant is to go to SHAPE Domaines' office (room 101 same building as HMS) with the acceptance form in order to sign the rental contract. The moving in date will be determined upon the signature.
